Report Type - Requisition Items in Progress

The Requisition Items in Progress report provides a real-time snapshot of requisitions that have been submitted but have not yet become Purchase Orders. It highlights exactly where a request is sitting in the approval workflow, making it an essential tool for identifying bottlenecks and managing pending expenditures.

 

Purpose of the Report

This report is used by Requesters, Department Managers, and Procurement Administrators to:

  • Track Pending Spend: View the total financial value of requests that are likely to become orders in the near future.
  • Identify Bottlenecks: See exactly who the Current Approver is for any given request.
  • Assist Users: Quickly answer inquiries from staff asking about the status of their pending requisitions.
  • Manage Workflows: Identify if an approver is out of the office or if a specific department has a backlog of requests awaiting action.

Best Practices for Management

  • Monitor "Begin Approval Date": If the difference between the current date and the Begin Approval Date is more than 3 business days. It may be time to send a friendly reminder to the Current Approver.
  • Filter by Approver: Periodically group the report by the Current Approver, to see if specific individuals have a high volume of pending tasks that need to be cleared.
  • Budget Forecasting: Use the Total column to calculate "committed" spend that hasn't hit your budget, yet. But will as soon as the approval is granted.
  • OBO Oversight: Use the On Behalf Of column to ensure that administrative assistants are successfully moving requests forward for their executives.

Note: Because requisitions can have multiple lines, each line item awaiting approval will appear as a separate entry on this report. Ensuring full visibility into split-account distributions.

 

Report Scope and Logic

  • Inclusions: Requisitions created within the specified date range that have at least one line item currently awaiting approval.
  • Exclusions: Once a requisition is fully approved and converted into an Order (or is Declined/Canceled), it will no longer appear on this report.

 

Report Columns and Definitions

Identification & Workflow

Column Name Description
Requisition Number The unique identifier for the pending request.
Description The title or summary of the requisition.
Begin Approval Date The date the request officially entered the approval workflow.
Type The nature of the request (e.g., Standard, Blanket).
Current Approver The most critical column. It identifies the user whose "Task List" currently contains this requisition.

Ownership & Organization

Column Name Description
Buyer The user who initiated the requisition.
On Behalf Of The person for whom the purchase is being made.
Organization Unit The department or group responsible for the request.
Supplier The vendor from whom the items are being requested.

Financials & Accounting

Column Name Description
Unit Price / Quantity The quantity and cost per unit for the pending item.
Subtotal / Tax / Total The complete financial breakdown of the pending line item.
Account Code The General Ledger string where the funds will be encumbered.
Distribution % / Amt Details on how costs are split across different accounts.
