Approvers Locating Their Approved Requisitions

Approvers may need to review requisitions they approved in the past. Even if the requisition's Organization Unit (OU), is not currently assigned to their user profile. The following steps will assist with locating approved requisitions via the Tasks menu.

 

Reviewing the View Sharing Setting

A Community Administrator should first check the approver's profile, if the View Sharing setting is enabled:

  1. Access User Profile: Go to the Administration module > select Users.

  2. Search: Insert the approver's name in the User Name field > select the magnify icon to search.

  3. Review OU: Click Edit > review the assigned organization units.

 

Impact on Viewing

  • If the approver is NOT assigned the same OU, as the approved requisition:

    • The approver will not be able to view the requisition in the View Requisition screen.

    • The user must follow the steps below to access the requisition.

  • If the View Sharing setting is disabled:

    • The approver will not be able to view the requisition in the View Requisition screen, regardless of OU assignment.

    • The user must follow the steps below to access the approved requisition.

 

Locate and View Approved Requisitions

To locate a previously approved requisition from the Tasks menu:

  1. Access Tasks: Select the Tasks menu in the upper right corner > select the Approvals tab > click View All.

 

  1. Filter Access: The Approvals screen will populate > select the encircled arrow () to reveal search fields.

  2. Search: In the Requisition Number field, enter the desired requisition number.

  3. Set Status: In the State field, select Approved.

  4. Run Search: Click Search.
