User Export

Community Administrators and User Administrators can export a comprehensive list of users, into a CSV file. This export is useful for auditing data or creating a template, to update user records in bulk.

 

Essential Details

  • Background Jobs: If you are exporting a large amount of data, it might take a minute to process. You don't have to stay on the page; you can come back to the Background Jobs screen later to find your file.
  • Exports are processed as Background Jobs and are available for 7 days for download (in CSV format).

 

Steps to Export Users

Follow these steps to generate and download your user data file.

  1. Navigate to the Administration module.

  2. Click Users.

  3. Click Filters to open the search options.

 

  1. Apply any desired filters to customize the data in your export.

  2. Click Export and select Export Users.

 

  1. In the Job Submitted pop-up box, click the here hyperlink.

  2. On the Background Jobs screen, wait for the status to show Finished.

  3. Select Download to save the CSV file to your device.

 

User Fields and Values

Field Definition
Username

The user's system username following your organization's naming conventions.

First Name

The user's first name.

Last Name

The user's last name. 

Email

The user's primary email address. 

Enabled

Indicates account status: Y (Yes) or N (No).

External User Management

Indicates if user details are managed in an external system: Y (Yes) or N (No). 

External User ID

The unique identifier from an external system, if applicable. 

Vendor ID

The specific vendor identification code, if provided.

Self Approval Level

The maximum value for which a user can approve their own requisitions or expenses.

Org Units

The primary Organization Unit(s) assigned to the user.

On Behalf Of Org Units

The Organization Unit(s) for which the user has purchasing authority.

Roles

The specific permissions and access levels assigned to the user.

Buyer Groups

The group(s) determining which suppliers and catalogs the user can view in the marketplace.

Phone

The contact phone number associated with the user profile.

Last Login

The timestamp of the user's most recent system access.

Created Date

The date and time the user account was first established.

Deactivated Date

The date and time the user account was disabled.

Results

You will receive a CSV file containing user details such as usernames, email addresses, assigned roles, and buyer groups. This file can be used as a reference or edited for a bulk upload.
