Convert Lite Supplier to Registered

Community Administrators and Community Supplier Administrators can manually upgrade a "Lite" supplier profile to a "Registered" profile.

The primary goal of this conversion is to preserve transaction history. By merging the profiles, all historical data from the Lite profile is linked to the new Registered profile, ensuring a continuous audit trail.

 

Prerequisites for Conversion

Before attempting an upgrade, ensure the supplier meets the following criteria:

  • Existing Profile: The supplier must already have a registered profile within the Unimarket directory (but not yet in your specific community).

  • Currency Match: The currency on the Registered profile must match the Lite supplier profile.

  • Status: The Lite supplier profile must be currently Enabled in your community.

  • Not Already Present: The supplier cannot already exist in your community as a Registered or Premium supplier.

Important Note: Any suppliers already in your community- regardless of state (Connected, Disconnected, or Pending)—will be greyed out and unavailable for selection.

  • Comment messages within Lite Supplier profiles, will not be visible to the supplier within their Registered profile.

 

Step-by-Step Upgrade Process

Locate the Lite Supplier

  • Navigate to the Administration module.

  • Click Suppliers and select the Manage Suppliers tab.

  • Use the Search Suppliers field or Filters to locate the Lite supplier.

  • Click on the Supplier Name to open their profile.

 

Initiate Conversion

  • Click the More Actions button in the top right corner.

  • Select Convert to Registered.

 

Match and Merge

  • In the Convert Lite to Registered pop-up, search for the supplier's name in the Search Supplier field.

  • Verify the Match: Review the address, currency, and Tax Identification Number to ensure it matches the Lite account.

  • Reason: Enter a mandatory reason for the upgrade in the required field.

  • Click OK.

 

Final Confirmation

  • A confirmation pop-up will appear asking to merge the supplier. Select Merge Supplier.

  • A final warning will appear stating that this action cannot be undone. Confirm to complete the conversion, by selecting Merge Supplier.

 

Troubleshooting: Why is the OK Button Greyed Out?

If you are attempting to convert a supplier but the OK button remains greyed out or you see a "No Results Found" message, the system has blocked the conversion to prevent data errors.

There are two primary reasons why this occurs:

 

No Matching Profile in the Unimarket Directory

The conversion tool is designed to "link" your local Lite profile to an existing global profile. If the supplier has not yet created a formal account with Unimarket, there is nothing for the system to merge with.

  • The Indicator: The search returns "No Results Found."

  • The Solution: You cannot use the manual upgrade tool. Instead, you must invite the supplier to register by sending them a registration link. Once they complete their registration, you can attempt the conversion again.

 

Prerequisites Are Not Met

Even if the supplier is found in the directory, the OK button will remain disabled if the profiles are incompatible. The system checks for the following:

  • Currency Mismatch: If your Lite supplier is set to USD but the Registered profile in the directory is set to CAD, the system will not allow the merge. The currencies must be identical to protect the integrity of your financial reporting.

  • Existing Community Connection: If the Registered version of the supplier is already in your community (even if their status is Pending or Disconnected), the system cannot perform a second "merge."

  • Lite Profile Status: If the Lite profile has been Disabled in your community, you must re-enable it before the conversion tool becomes active.

  • Missing Required Fields: Ensure you have entered a reason for the conversion in the text box; the OK button will not activate until this required field is populated.
