Contracts - Signature

Use this process to route a contract for electronic signature through DocuSign. After all required workflow approvals are complete. Once all signatures are collected, the executed agreement is automatically stored on the contract record and the contract status is updated to Active.

Limits and Notes

  • Signature requirements can be configured at the Contract Type level.
  • Signature requirements can be bypassed on an individual contract, when uploading previously executed contracts. By selecting More Actions > Skip Signature.
  • Organizations may configure workflow notifications to automatically alert a designated coordinator when a contract reaches Execution status.
  • Notary functionality is available through DocuSign. If your community is interested, please contact your Customer Success Manager.

 

Prerequisites

  • The community's configuration has been setup, by the Unimarket team.

  • The Enable DocuSign Integration setting is enabled by Unimarket team. 

    • Without this, the DocuSign tab is not visible in any community's settings and the E-Signature Required option will not appear on contract types.

  • Electronic signatures are enabled for the contract type.
  • The contract has completed all approval workflows.
  • The contract status is Execution.
  • You have permission to manage contract signatures.
  • Signer names and email addresses are available.

 

Step 1: Contract Workflow Approvals are Completed

  • The contract must be in the Execution status, to proceed forward.

 

Step 2: Click Signature tab and select Signature Setup.

  • Result: Unimarket will launch the DocuSign setup experience.

 

Step 3: Attach the Document to be Signed in DocuSign.

  • You can drag and drop the file or select Upload.

 

Step 4: Add Recipient (Signer) Information

  • In the Name field, enter the recipients' first and last name.
  • In the Email field, enter the recipients' email address.

To add additional Recipients, select Add Recipient.

 

Step 5: Configure the Signing Sequence (Optional).

  • This will ensure recipients receive requests in the specified order.
  • To designate select the Set Signing Order box.
    • A number will appear next to each recipient and you can rearrange the order, with the click and move of your mouse.

 

Step 6: Add Additional Recipients for a Copy or Review Purposes (Optional).

  • Add recipients receive notification emails without being required to sign.
    • To action, select Add Recipient.
    • In the Name field, enter the recipients' first and last name.
    • In the Email field, enter the recipients' email address. 
    • Select the Needs to Sign icon > click Receives a Copy or Needs to View.

 

Step 7: Enable the Notary Option if Your Organization Requires Notarization (Optional).

  • If your community is interested enabling the the Signs with Notary option (under the Needs to Sign dropdown). Please reach out to your Unimarket Customer Success Manager. 

 

Step 8: Add the Desired Message

  • In the Message field, enter the desired message to send to recipient(s).
  • If you there are multiple recipients and you would like to send a customize message to each person. Select the Custom Message and Language for Each Recipient box.

 

Step 9: Assign Tags to Document

  • The recipient's name will appear in the Name field (Note: If there are multiple recipients, select the dropdown to configure).
  • Under the Standard Fields header, select the desired task tags and drag on the desired area of the document.

 

Step 10: Complete eSignature Setup & Review Status

  • Select Send.
  • The Signature tab on the contract updates in real time as signers complete their actions.
    • The recipient's status will appear as Current while awaiting eSignature completion. Once the document is signed, the recipient's status will state Completed.

 

Results

When all signatures are collected:

  • The executed document is saved to the contract record.
  • A DocuSign Certificate of Completion is attached to the contract.
  • The contract status automatically changes to Active.
  • Notifications are sent to all contract owners and contract members.

 

Troubleshooting

Issue Cause Resolution
Signature Setup button is unavailable The contract has not yet reached Execution status. Complete all required workflow approvals and confirm the contract status is Execution.
Electronic signature is not required for this contract Signature requirements are configured by contract type. Verify the contract type configuration or enable signatures for the specific contract if appropriate.
A historical contract is already signed Existing agreements do not require a new signature process. Bypass the signature requirement and upload the already executed document to the contract record.
Signers are not receiving emails An incorrect signer email address may have been entered. Verify recipient information in DocuSign and resend the signature request if necessary.
