Budgets Overview Screen

Communities can view and manage existing budgets details (e.g. designated budget center, start/end date and state).

 

Permissions

  • Users with the Community Administrator role.

 

Steps

  1. Go to the Administration module. 
  2. Select Modules. 
  3. Click Budgets.
  4. Review the budget listing.

 

Search Budgets

You can customize your search using various criteria:

Feature How to Use
Search Field To search for a specific budget.
Start Date Field Use the dropdown to customize the date range (e.g. Yesterday, Last 90 Days).

Sorting and Columns

The available columns on the Budgets screen can be used for sorting, clicking the arrows () in the desired column:

Headers Purpose
Name
The unique name of the budget. Usually indicates the purpose, department, or time period (e.g., Marketing FY2026). Helps identify the budget at a glance.
Account Code Format
Defines the structure of account codes used in the budget. 
Budget Center
The organizational unit responsible for the budget. Often tied to a department, cost center, or business unit.
Start Date
The beginning date when the budget becomes active. Transactions dated before this are not included in budget consumption.
End Date
The expiration date of the budget period. Transactions after this date typically do not impact the budget.
Last Updated Date

The most recent date when the budget was modified. Changes may include:

  • Adjustments to budget amounts
  • Updates to structure or rules

Note: Useful for tracking recent activity or audits.

  State
  Indicates the current status of the budget.

 

Delete an Existing Budget

Delete an existing budget to remove it from the system when it is no longer needed (e.g., created in error or no longer relevant). 

IMPORTANT:

  • This will delete the Budget itself; along with any individual budget lines against specific account codes.

  • Any budgets on requisitions will remain. This can be important when reviewing historical approval data.

  1. Go to the Administration module. 
  2. Select Modules. 
  3. Click Budgets.
  4. Hover to the right of the desired budget.
  5. Select More Actions (three aligned dots).

 

  1. Click Delete and a pop-up box will appear.
  2. Select OK, to confirm deletion.
