This administrative tool allows for the rapid reassignment of contracts from one user to another. This is typically used during departmental restructures or when a staff member leaves the community.
Prerequisites
- You must have the Community Administrator role.
- The new owner must already have a user account in Unimarket, with the appropriate contract-related permissions.
Important Notes
- Audit History: Every contract reassigned via this process will reflect the change in its individual history/audit log.
- Notifications: The new owner will typically receive notifications regarding these contracts moving forward (e.g., expiry alerts).
Org Unit Access: Ensure the new owner has access to the same Organization Units as the contracts they are inheriting; otherwise, they may have difficulty managing them later.
Step-by-Step Instructions
1. Locate the Current Owner
- Navigate to the Administration module.
- Select Users.
- In the User Name field, type the name of the current contract owner and click the Search (magnifying glass) icon.
- Click on the user's name to open their profile.
2. Initiate the Bulk Change
- Inside the user's profile, select the Contracts tab. This will display all contracts currently owned by this individual.
- Click the Export button.
- From the dropdown menu, select Bulk Change.
3. Select Contracts
- The Bulk Contract Change screen will appear.
- Check the individual boxes next to the contracts you wish to reassign, or check the Select All box at the top to update their entire portfolio.
- Click Continue.
4. Define the Update
- On the next screen, ensure the option Update Contract Owner is selected.
- Click Continue.
- In the New Contract Owner field, use the dropdown menu to search for and select the name of the new owner.
- Click Continue.
5. Review and Confirm
- A confirmation screen will populate. Review the list of contracts and the name of the new owner to ensure accuracy.
- Once verified, select Finish.
- An alert message will appear confirming that the change process has been initiated or completed.
