Requesting a Quote

If your community has the Request For Quote feature enabled, users with the Create RFQ role can create Request For Quote for individual or multiple suppliers. However, the Request For Quote setting must also be enabled by a Community Administrator, specifically within each desired supplier's profile.

 

Enabling Request For Quote for a Specific Supplier

  1. Navigate: Go to the Administration module > select Suppliers.

  2. Search: Key in the supplier's name in the Search Suppliers field > clear the State field > select the magnify search icon .

  3. Enable RFQ: Once the supplier's profile screen populates, check the Allow RFQ box.

  4. Save: Select Save.

 

Creating an Request For Quote

Users with the Create RFQ role can initiate a new Request For Quote through a 5-section process: Header, Suppliers, Attachments, Email, and Confirm.

  1. Navigate: Go to the Marketplace module > select Purchasing > click Request Quote.

 

Request For Quote Sections

Once finished, the supplier(s) will receive an email invitation to respond. When a supplier submits a quote, the buyer who created the Request for Quote, will receive an email notification for review.

 

Managing Existing Request for Quotes (Copying and Cancelling)

To manage existing Request for Quote, first navigate to the View Requests for Quote screen:

  • Go to the Marketplace module > select Transactions > click View Requests for Quote.

  • Locate the desired RFQ using the RFQ ID field, Period field, and/or Filters.

  • Select the RFQ name to view the details.

 

Copy A Request for Quote

  1. From the desired Request for Quote view screen, select More Actions > click Copy RFQ.

  2. Copied Data: The copied Request for Quote duplicates the details, attachments, and supplier(s) from the original. However, the copy function will not copy the response date, reminder date, and contact name; this information will default to the user who copied the quote.

 

Cancel A Request for Quote

  1. From the desired Request for Quote view screen, select More Actions > click Cancel RFQ.

  2. Notification: Once canceled, the supplier(s) will receive an email notification that the Request for Quote was canceled.

 

Additional Request for Quote Options

  • Catalog Item Quote: Communities can submit an Request for Quote directly from a supplier's catalog item in the Marketplace, where the Get Quote icon is displayed.
