Contract Transactions Not Visible

At times, users may report that they cannot see the Transactions tab (containing linked orders and invoices) when viewing a specific contract. This guide will assist Community Administrators in troubleshooting visibility issues and ensuring the correct users have access to the data they need.

Note: If a contract has no linked transactions, this tab will be hidden from view. It only appears once at least one order, or invoice has been associated with the contract.

 

Who Can See the Transactions Tab?

Visibility of the Transactions tab is restricted to specific user categories. A user must meet at least one of the following criteria to see linked orders and invoices:

  • The Contract Initiator/Owner: Must share the same Organization Unit as the contract AND have the Create Contracts role.
  • Contract Members: Any user added to the Members list of the contract (visibility is granted regardless of their organization unit).
  • Contract Administrators: Users with the Create Contracts role who have administrative oversight.

NOTE:

If a user is the Contract Owner but does not share the same Org Unit, as the contract or lacks the Create Contracts role. Will not have visibility of the Transactions tab.

Troubleshooting Steps

If a user reports missing visibility, follow these steps to diagnose and resolve the issue.

Step 1: Verify Transaction Linking

First, ensure that the orders or invoices are actually associated with the contract.

  • Check: Open the contract and verify if orders are linked.
  • Resolution: If no transactions appear, they may not have been correctly selected during the checkout process or when the invoice was created. Refer to the Contracts - Transactions Tab help article.

 

Step 2: Check Organization Unit Alignment

A common cause of missing visibility for owners is a mismatch between the user's profile and the contract's assigned unit.

  • Check: Compare the Organization Unit(s) assigned to the contract against the Organization Unit(s) on the user's profile.
  • Resolution: If they do not share the same unit, edit the user's profile to add the contract's organization unit.

 

Step 3: Verify User Roles

The user must have the specific permission required to interact with the Contracts module.

  • Check: Review the user's assigned roles in the Administration module.
  • Resolution: Ensure the user has the Create Contracts role assigned. Without this role, the system will not grant access to the technical transaction details of the contract.

 

Pro-Tip

If you want a user to see the transactions of a contract without changing their Organization Unit or primary roles, simply add them as a Member (in the Members tab of the contract). This is the most efficient way to grant "Guest" visibility for specific agreements.
