The Procurement Dashboard provides strategic insights into spend data through interactive graphs and widgets. It is designed to help administrators and procurement managers identify trends, manage supplier relationships, and optimize purchasing processes.
Dashboard Visibility
The dashboard is accessible via Marketplace > Insights for users with the following roles:
- Community Administrator
- Create Invoice
- View Transactions
- Standard users (if View Sharing is enabled for their Org Unit)
Key Widgets & Insights
Spend By Purchasing Method
This graph breaks down how your community is buying—Categorized as Catalog, Non-Catalog, or Quote.
- Date Range: Toggle between the last 12 months ("This Year") or the previous fiscal period ("Last Year").
- Org Unit Filtering: Filter by specific Organization Units. Selecting a parent Org Unit automatically includes data for its children.
- Interactive Legend: Click the labels (Catalog, Quote, etc.) at the bottom to toggle data on or off in the view.
Top 10 Suppliers
Identifies your most utilized vendors based on two metrics:
- By Amount: Shows where the largest sums of money are being spent.
- By Transactions: Shows which suppliers have the highest volume of orders. Highlighting potential opportunities for process improvement (e.g., moving high-transaction suppliers to catalogs).
- Timeframes: Filter by the last 30, 60, or 365 days.
Low Value Orders
A critical tool for identifying inefficient purchasing. High volumes of low-value orders often lead to excessive shipping costs and administrative overhead.
- Thresholds: Filter for orders under $50, $100, or $500.
- Goal: Use this to encourage users to consolidate orders or identify suppliers suitable for blanket orders.
Spend By Category
Visualizes your top 10 product categories using UNSPSC codes.
- Purpose: Helps you understand what you are buying most.
- Troubleshooting: If you see high amounts of "Unidentified Spend," you may need to update your Category Mapping.
Suppliers By Category
Shows the number of unique suppliers used within your top 10 categories.
- Opportunity: If you have 20 different suppliers in one category (e.g., Office Supplies). There may be an opportunity for vendor consolidation and negotiated savings.
Dashboard Tips
- Hover for Detail: Hover your mouse over any bar or segment in the graphs. To see the exact dollar amount or transaction count for that data point.
- Hierarchy Flow: Data in the dashboard follows your Org Unit Hierarchy. If you only have access to one unit, you will only see that unit's data.
- Real-time Data: The dashboard reflects live transaction data, making it an excellent tool for month-end reviews.
