Performance Dashboard

The Performance Dashboard is an essential tool for monitoring the health and efficiency of your community's procurement and approval processes. It provides visibility into bottlenecks, cycle times, and outstanding financial liabilities.

 

Dashboard Visibility

This dashboard is accessible via Marketplace > Insights > the Performance tab, for:

 

  • Community Administrators
  • Users with the View Transactions or Create Invoice role.
  • Standard users within an Org Unit where Sharing is enabled.

 

Best Practices for Monitoring

  • Weekly Reviews: Check the "Requiring Attention" widget every Monday ,to nudge approvers who are holding up the queue.
  • Accrual Cleanup: Use the "Old Open Orders" and "GRNI" widgets monthly. To identify orders that can be Closed to ensure your General Ledger (GL) remains accurate.
  • Workflow Optimization: If your "Approvals Per Order" is consistently high (e.g., 5+ tasks), consider simplifying your workflow to reduce the "Cycle Time."

     

Requisition & Approval Metrics

Pending Requisitions

Shows the current volume and value of requisitions moving through the workflow.

 

  • Logic: Excludes requisitions that have already been escalated or have had reminders sent, focusing on active, healthy workflows.

 

Requiring Attention

Identifies potential bottlenecks by listing pending requisitions where approval tasks have been open for 3 or more days.

 

Cycle Time

Calculates the average duration from requisition creation to order generation over the last 30 days.

 

  • Trend Indicator: A small up/down arrow shows if your process is getting faster or slower compared to the previous 30 days.
  • Breakdown: See how many requests fall under or over the average and identify how many were declined.

 

Approver Activity & Per Order Metrics

 

  • Approver Activity: Filter to see who is approving the most or who has the slowest average response time (hours).
  • Approvals Per Order: A pie chart showing the complexity of your workflow (how many "touches" a request needs before becoming an order).
    • Note: These widgets are hidden if your community uses an External Approval integration.

 

Order & Financial Management

Order Volume

 

  • Displays the total number and value of orders placed in the last 30 days, with trend arrows comparing this to the previous period.

 

Open & Old Open Orders

 

  • Open Orders: Shows all active or partially received orders. Clicking this widget takes you directly to the View Orders screen with these filters pre-applied.
  • Old Open Orders: Specifically highlights orders that have been open for over 90 days, which may indicate delivery issues or orders that need to be closed to release accruals.

 

GRNI (Goods Received Not Invoiced)

This critical financial widget shows orders where the Received Quantity is greater than the Invoiced Quantity.

 

  • Financial Impact: Represents the total value of items delivered but not yet billed—essentially your outstanding liability.
  • Quick Link: Clicking this widget directs you to the Orders page to review these specific transactions.
