View Spend

The View Spend feature is available to communities with the Invoice Module enabled, providing a detailed list of orders that shows the value of goods received and invoiced against them.

 

User Access and Limitations

  • Broad Access: Users with the View Transactions and Community Administrator roles can view spend data across all Organization Units.

  • Buyer Access: Users with the Buyer Role are restricted to viewing only the orders they can access.

  • Exclusions: Orders with an NRNI (Not Received, Not Invoiced) status and manually closed orders are not included in the view.

 

View Spend Screen

  1. Access: Go to the Marketplace module > select Transactions > click View Spend.

 

  1. Summary: The screen provides a summary of spend data per order, detailed in the table below:

Column NameDescription
OrderThe order number.
SupplierThe name of the Supplier for the order.
Order DateThe date the order was placed.
Order ValueThe total value of the line items on the order, excluding tax and shipping costs.
Not ReceivedThe value of the line items not received on the order, excluding tax and shipping costs.
GRNI (Goods Received Not Invoiced)The value of line items that have been received and not yet invoiced, excluding tax and shipping costs.
InvoicedThe value invoiced against the order, excluding tax and shipping costs.
Shipping & Other CostsThe value of shipping, special handling, and tax on the order or invoice.
Total InvoicedThe total amount invoiced (Invoiced + Shipping & Other Costs).

Filtering and Exporting Spend Data

Filter

  • Action: Click Filters to open the additional search fields.

  • Options: You can filter orders by Organization Unit, Created Date, Supplier, Order Type, Buyer, and Payment Method.

  • Submission: Customize your search using the fields and select Apply Filter.

 

Export

The export provides detailed spend data for each order, broken down by line item.

  1. Initiate Export: Click Export on the top right side and select Export Spend.

  2. Download Report: When the Job Submitted pop-up box appears, select the here hyperlink.

  3. Retrieve File: The Background Jobs screen will appear. Select the Download link once the file's status is Finished State.

Alternative Access: Background Jobs can also be accessed directly by selecting the Task Menu in the upper right corner and clicking Background Jobs.
