Scheduled Exports

Scheduled Exports are powerful automation tools designed to extract raw data (Orders, Order Lines, or Users) from Unimarket. While similar to Scheduled Reports, Exports offer specialized filters such as Commitments and GRNI, making them ideal for feeding institutional data warehouses or performing deep financial analysis.

 

Roles & Permissions

Access to the scheduling engine requires one of the following roles:

  • Community Administrator
  • Create Invoices
  • View Transactions

 

Creating a Scheduled Export

  1. Navigate to the Insights module > Schedules.
  2. Click More Actions > +Schedule Report.

 

  1. In the pop-up box, toggle the selection to Exports.

 

Field Reference & Configuration

FieldDescription
Schedule NameA unique name for the export (e.g., "Daily_GRNI_Sync").
Export TypeChoose between Orders, Order Lines, or Users.
Select FilterAvailable for Orders/Order Lines. Choose Commitments or GRNI.
Date RangeSelect your window (e.g., "Last Month" logic or custom duration).
Days / Run TimeSelect the days and times for the export to trigger.
RecipientsEmail addresses for notification/links.
EndpointSelect Email or a secure sFTP endpoint for server delivery.

Specialized Filters

  • Commitments: Use this filter to export data regarding funds currently tied up in the approval process or active orders.
  • GRNI (Goods Received Not Invoiced): Use this to export raw data for items that have been received but are awaiting an invoice.

 

Date Logic & Automation

Scheduled Exports support the same "Last Month" predefined logic found in reports:

  • Last Month: Triggers on the 1st of the month for the previous full month.
  • Last 3 Months: Triggers on the 1st for the previous quarter.
  • Last 6 Months: Triggers on the 1st for the previous half-year.

 

Filename Templates & Variables

To ensure your files are easily identifiable in an sFTP folder, use dynamic variables in the Filename Template field.

Available Variables

  • ${scheduleName}: Inserts the name you assigned to the schedule.
  • ${runDate(PATTERN)}: Inserts the generation date.
    • Example Pattern: YYYY-MM-dd_hh-mm-ss

Example Template:

Export_${scheduleName}_${runDate(MM-dd-yyyy)}

Result: Export_CommitmentAudit_12-24-2025.csv

 

Delivery & Endpoint Management

  • sFTP Delivery: This is the recommended method for "Exports" as the data is often used for system integration. The files are pushed securely to your institution's folder location.
  • Archive and Cleanup: Remember that if you are "pulling" from the Unimarket outbound folder, your local script is responsible for deleting or moving files after retrieval to prevent reprocessing.
