Create an Invoice Against a Blanket Order

When a supplier submits an invoice for goods or services delivered against a Blanket Order, authorized users can create the corresponding electronic invoice in Unimarket. This action initiates the fund drawdown process from the BO's available amount.

 

Eligibility and Fund Drawdown

  • Authorization: Only users with the Create Invoice role can create an invoice against a Blanket Order.

  • Approval Routing: Once submitted, the invoice routes to the Blanket Order creator and delegated approvers for review.

  • Fund Drawdown: If the invoice is approved, a matching release order is automatically generated, which draws down the approved invoice amount from the available funds on the Blanket Order.

  • Post-Expiry Invoicing: An invoice can be submitted for a BO past its Valid To date provided two conditions are met:

    1. The invoice date is between the Valid From and Valid To date of the Blanket Order.

    2. There are still Available Funds remaining on the Blanket Order.

 

Notifications

  • The following users assigned the same org unit listed on the Blanket order, will receive invoice email notifications:

    • User listed as an Available To, on the blanket order.

    • Creator of the Blanket Order and

    • User who created the invoice.

 

Procedure to Create an Invoice

  1. Locate the Blanket Order:

    • Go to the Marketplace module > select Orders.

    • In the Search Order Number field, insert the blanket order number or select Filters > in the Order Type field, select Blanket.

 

  1. Initiate Invoicing:

    • Once the Blanket Order is located, select the order number.

    • Click Invoice Order.

 

  1. Complete Invoice Details:

    • The Invoice screen will populate. Enter required information in the fields marked with a red asterisk.

    • Remittance Address: If the supplier has multiple remittance addresses, you can change this field; otherwise, it is fixed.

  2. Add Line Items:

    • Enter the first line item details, including its Quantity, Unit Price, Unit of Measure, and tax (if applicable).

    • To add additional lines, select Add Lines.

    • You can also add Comments, Shipping, and Shipping Tax if applicable.

  3. Submit for Approval:

    • Select Submit Invoice to route the invoice for approval.

    • Option: If you wish to create another invoice immediately after, check the Create Another box below the submit button.
