If your community has Request For Quote (RFQ) enabled, users with the Create RFQ role will be able to create RFQ's for individual or multiple suppliers.
The RFQ setting must be enabled by Community Administrator with specific supplier profiles.
Note: RFQ's must also be enabled by the Administrators of your Community within the suppliers profile under the Manage Suppliers page. |
Enable RFQ Setting For A Specific Supplier
To enable RFQ setting for a specific supplier, go to the Administration module > select Suppliers > key in supplier's name in the Search Suppliers field > clear State field > select the magnify search icon.
Once completed, the supplier's profile screen will populate > check Allow RFQ box > select Save.
Create A RFQ
To create a RFQ, user with the Create RFQ role can go to the Marketplace module > select Purchasing > click Request Quote.
The Request Quote screen will populate. There are 5 section within the Request Quote screen to complete, to submit the RFQ: Header, Suppliers, Attachments, Email, and Confirm.
Header section:
The RFQ header is used to define the buyer's requirements. To complete the Header section, insert required information marked with a red asterisk. Once completed, select Continue.
Suppliers section:
Select +Add Supplier > use the Search field to locate desired supplier(s) or choose supplier(s) from Guided Buying Collections, in Guided Buying field.
Once located, check the box associated with desired supplier(s) > click Add.
Attachments section:
Select Browse, to attach desired documents > click Continue.
Email section:
On the Email section, a standard email message is provided to include in the supplier invitation to submit a quote.
Review > update the message, if desired > select Continue once approved.
Confirm section:
Review the information. If you would like to update information, select Back.
Once completed, select Finish.
The supplier(s) will receive an email invitation to respond with a quote. Once supplier(s) creates a quote in their supplier profile, the buyer (who created the RFQ) will receive an email notification to review the submitted supplier quote.
Copy A Previously Created RFQ
To copy a previously submitted RFQ, go to the Marketplace module > select Transactions > click View Requests for Quote.
The Requests for Quote screen will populate > Locate the RFQ, using the RFQ ID field or customize the search by utilizing the Period field and/or Filters.
Once the RFQ is located, select the RFQ name > the desired RFQ view screen will populate > select More Actions > click Copy RFQ.
The copied RFQ will copy the details, attachments, supplier(s), etc., from the original RFQ. The copy function will not copy the response date, reminder date and contact name. This information will change to the user who copied the quote.
Cancel An RFQ
To cancel an RFQ, go to the Marketplace module > select Transactions > click View Requests for Quote.
The Requests for Quote screen will populate > Locate the RFQ, using the RFQ ID field or customize the search by utilizing the Period field and/or Filters.
Once the RFQ is located, select the RFQ name > the desired RFQ view screen will populate > select More Actions > click Cancel RFQ.
Once canceled, the supplier(s) will be notified the RFQ was canceled via email notification.
Reviewing and Accepting RFQs

Note: Suppliers can submit quotes without first receiving an RFQ from your community. For additional information on how to accept and decline supplier initiated quotes, refer to the help article here. |
Get Quote for a Catalog Item
Communities can submit an RFQ from supplier's catalog in the Marketplace, where the Get Quote icon is displayed. For additional information, refer to help article submit RFQ from a supplier catalog.
