Unimarket release 4.16 adds new expandable page filter sections, the ability to limit the actions performed by Switch Users and the ability to remove initiator access to blanket orders and contracts.
New Features
Expandable Page Filters
We have added new expandable filter sections at the top of all search pages (View Orders, Requisitions, Invoices etc.) to free up available screen space so there is more space for your information and less taken up by filter options. The most common filters are available at the top of the screen and to see additional options you can click ‘More Options’. We’ve also added quick pre-set date selectors of 90 days, 6 Months or 12 Months with the ability to define a custom date range if needed. During your session the screen will also remember if you last expanded or collapsed it.
Limit Switch User Actions
Switch User functionality is a very useful support tool, however customers have raised that they would like additional checks and balances around what a switched user can do. To meet this requirement we have added an option to configure the Switch User function to only provide view access to another user’s account. No actions like creating a requisition or receiving an order (as examples) are possible. Please contact Unimarket if you would like this option enabled.
Bulk Change Organization Units on Orders
With the recent addition of Organization Unit security all orders are stamped with an OrgUnit to determine who can view it. However, this may mean that purchase orders with an old OrgUnit (that has since been replaced) may no longer be visible to your users.
This change allows communities to tidy up historical order data by bulk changing the OrgUnit stamped on the order with the new replacement OrgUnit.
Message Auditing for Integrated XML Invoices
When it comes to electronic invoicing with fully integrated suppliers we are often asked by AP teams ‘where is the ‘original invoice’. When these suppliers send us an invoice the ‘original’ is deemed the XML message that we received from their system. To make this more visible for audit purposes we have added the original XML message as an attachment to the invoice in Unimarket.
Remove Initiator Access on a Blanket Order
In the past if a user created a blanket order they always had access because they were the Initiator. However in some cases the initiator may no longer be eligible to draw down on the blanket, so we have made it possible to remove their access.
Remove Initiator Access on a Contract
Like the blanket order example above, contract initiators have always had access to the contracts they created. However in cases where a user shifts department or role you may need to remove their access. We have added the ability to remove initiator access under the Members tab.
View Contracts Improvements
Based on feedback, we have made a few improvements to the View Contracts page. These include sorting contracts that are near expiry to the top, filtering out cancelled and expired contracts by default and fixing the counterpart search.
Other Changes and Fixes
- Blanket order integration messages now include the available balance when blanket order dates are edited.
- The organization unit upload now has a template available for download.
- We have added a Select All option to the Invite Suppliers page to make this process quicker.
- We have made the account code field size flexible based on the maximum characters for that account code part.
What's Next
In the upcoming releases we will be bringing you the procurement dashboards. These are underpinned by a dashboard framework that will allow us to easily build on the available dashboards over time.
