To view and manage a contract, a user must have the:
- Contracts Administrator role
- View Contracts role or
- Be a member of a contract with the Create Contracts role
Members of the contract with Edit permission, can also:
- Copy a contract
- Amend a contract and/or
- Renew a contract
Users with the View Contracts role can view the: Counterpart, Leadsheet, Bid, Members, Alerts, Renewal, and Comments tabs.
Members with the Edit permission can see the same tabs as a user with the View Contracts role and copy, amend and/or renew a contract.
Access Contract View Screen
To access the Contract view screen, go to the Contracts module > select Contracts.
Search
The user can search for a contact, utilizing the Search Contracts, Contract End Date field or customize the search, click Filters.
Once selected, additional fields will populate. For field information and details, refer to the list below.
- Search Contracts - This field searches the contract number, name, description and any attachment names.
- Contract End Date - Search by the contract end date.
- Counterpart - Filters all contracts by counterpart (the party the contract applies to).
- State - Allows users to filter contracts by Active or Pending. If your community has a contract workflow uploaded, the user can also search by any custom states that have been used. If the user would like to include Expired and Canceled contracts, check the Include Closed box.
- Buyer - Filters all contracts by the initiator or owner of the contract.
- Contract Number - Search by the contract number (if known).
- Organization Unit - If the contract is assigned to an Org Unit, the users can filter the Org Units he/she belongs to.
- Include Closed - If enabled, Expired, Canceled or archived contracts will be included in the search results. By default, the feature is disabled.
Contract Actions
Once the desired contract is located, there a various actions the user can execute. That will affect the contract within the More Actions menu, such as: Amend, Copy, Renew, Link, Share Contract Link, Cancel and Archive.
Amend Contract
The Amend function will make any changes to an existing contract. For additional information, refer to help article Amend a Contract.
Copy
The Copy function allows a user to use an existing contract, as a template for creating a new contract. This is useful if the community has multiple contracts with similar terms. A contract can be created as a template and reused as many times, as desired.
Once copied, the contract number generates a new number automatically every each time. Which gives the user a way to distinguish between existing contracts and the copied one.
The copy function differs from a contract renewal, which maintains the same contract number as it's previous version.
Renew Contract
The Renew feature allows the user to copy all the details of an existing contract, with the ability to make changes.
Unlike the Copy function, the Renew feature retains the same contract number and link the renewed contract to the previous contract.

Cancel Contract
A contract can easily be canceled by selecting Cancel.
Users are given the option to provide reasons for cancelation. Cancelled contracts are always saved in Unimarket. So users, can recall a cancelled contract and copy it to create a new contract or reference any time (if desired).
Archive Contract
The option to archive a contract, is exclusively available to users with the Contracts Administrator role. Archiving a contract can be done in any state status and is an irreversible action.
Once action the contract is permanently stored in the archived state and inaccessible for any further modifications or actions, within Unimarket.
Link Contract
Some links are created automatically, for example when a contract is renewed or copied.
Community Administrators can also set up community defined Link Types. For additional information, refer to help article Contracts Administration Module.
To link a contract to another contract, select +Link > in the Link Type field, choose a listed option > in the Target Contract field, select listed option > click Add. To link additional contracts, select Add More.
Once completed, users can view how contracts are linked from the contract's Leadsheet.
Sharing Contract
Contracts can be easily shared with other Unimarket users, by selecting More Actions > click Share Contract Link > a pop-up box will appear > select Copy.
